Dear Backpackonline User,

 

As you may be aware the General Data Protection Regulation (GDPR) came into force on the 25th May 2018.

 

As a Data Controller, you are expected to comply with a number of provisions relating to data protection including data retention. You must be clear about the length of time for which personal data will be kept and the reasons why the information is being retained.

 

In determining appropriate retention periods, regard must be had for any statutory obligations you may have. If the purpose for which the information was obtained has ceased and the personal information is no longer required, the data must be deleted or disposed of in a secure manner.

 

It may also be anonymised to remove any personal data. In order to comply with this legal requirement, data controllers are advised to assign specific responsibility and introduce procedures for ensuring that files are regularly purged, and that personal data is not retained any longer than is necessary.

 

To facilitate these changes, Hostelworld.com has added a new feature to Backpack Online that will allow you to process one off and date range specific anonymisation requests as part your data maintenance procedures.

 

How it Works:

This feature will allow you to anonymise data either by: 

  1. Searching for a specific email address and anonymising all data relating to that email address, however:

If a future booking exists, all historical data will be anonymised but the details of the future booking will be retained

 

  1. Selecting a date range for deletion greater than 6 months old, however:
    If a future booking exists, all historical data will be anonymised but the details of the future booking will be retained

 

 

Please note: once this feature is used it cannot be undone.

 

How to Access this feature:

 

Go to “Settings” >> “GDPR”

Select either the “Email” option to anonymise a specific customers data or “Date up to” to anonymise all data within a date range.

 

 

 

The data fields on the record that has been anonymised will appear as below:
